T·E·S·S·A JOB DESCRIPTION

 

 

JOB TITLE:              Executive Assistant

REPORT TO:           Executive Director

TIME REQUIREMENT:   20 hours a week

 

SYNOPSIS:  This person provides professional administrative support to the the executive director.  He/She  will compose, transcribe, edit, and disseminate reports, memos, and financial data.  Also, the Executive Assistant will coordinate meetings, prepare materials for meetings and record meeting minutes.  Additionally, this person will be responsible for compiling, analyzing  and reporting TESSA’s statistical date/grant reports each month.

 

RESPONSIBILITIES:

 

STATISTICAL TRACKING/REPORTING

·         Prepares the monthly and quarterly statistial reports

·         Works with staff in the collection, organization, and synthesis of necessary data

·         Creates and maintains processes to ensure monthly reports are completed in a timely and organized manner

·         Responsible for our statistical tracking database systems

·         Identifies, as necessary, areas where better tracking is necessary.

 

CLERICAL

·         Utilizes computer skills to prepare memos, letters, various correspondence

·         Copies forms, reports, etc. and maintain reference files

·         Creates, maintain, and update  forms.

·         Files and/or alphabetized various documents

·         Set up rooms/equipment for meetings

·         Assist staff with projects as requested

·         Delivers programs and services in a manner that is respectful and sensitive to the client’s cultural experience

 

RECEPTIONIST/CLIENT SERVICES

·         Treats clients with respect, dignity, and empathy

·         Keeps all client information confidential as directed by the client.

·         Develops knowledge and expertise regarding domestic violence and sexual assault

·         Responds to inquiries with support, information and referrals

·         Work cooperatively with other agencies and individuals involved with the client to assure comprehensive service delivery to the client and children.

·         Develops multicultural services, programming, and outreach as appropriate.

·         Understands department objectives and how they relate to the goals of the agency

·         Prevents, identifies, and removes discriminatory barriers in services provided

QUALIFICATIONS AND REQUIREMENTS:

·         Must be able to critically analyze data and translate into reports

·         Some college experience preferred

·         One year relevant experience; equivalent combination of education and/or experience may be considered

·         Attention to detail

·         Ability to work well under stressful circumstances

·         Proficient computer skills

·         Valid driver's license and car insurance

·         Must be willing to complete background checks

·         Ability to read, write and speak English

 

·         PHYSICAL REQUIREMENTS:

·         Ability to sit and concentrate for long periods of time

·         Ability to climb stairs, when necessary

·         Possesses vision sufficient to read and work on a computer

·         Possesses hearing sufficient to communicate on a phone and in person

·         Ability to write legibly

·         Ability to lift 50lbs, intermittently

·         Ability to work long hours, intermittently

·         Ability to tolerate all weather conditions
